JOB DESCRIPTION
As a Meeting & Events Planner, you will serve as an important team member who plans and manages corporate meetings and special events. The successful candidate will utilize their creative, problem-solving, planning and organizational skills to engage with clients to build solid relationships. Your main function is to provide exceptional client service while creatively planning and flawlessly executing all types and sizes of corporate conferences, meetings, special events and incentive travel programs.
Job Responsibilities
Single point of contact for client; creating, managing, and owning project plans, production schedules, onsite staffing schedules, working budgets, and final bills
Communicate the client’s needs and deliverables to internal stakeholders to ensure flawless execution
Accurately review and analyze reports. Manage data between registration platform, air reports (inclusive of ever-changing arrival and departure manifests, and hotel rooming lists). Maintain clear and accurate files, keeping vendor files up to date
Cultivate new and existing relationships with key vendors and establish, maintain, and cultivate strong relationships with clients
Lead client and vendor meetings; including but not limited to, sourcing, weekly progress calls, budget discussions, program development, etc. and organize and handle site inspections with clients
Program travel for meetings/events, manage on site program team and vendors – Manage, organize, delegate, and communicate all priorities on site
Assist account management in booking repeat programs and contribute and take an active role in creative development of proposals and contracts where you have specific account knowledge
Required Qualifications, Capabilities, and Skills
Minimum of 5 years meeting and event planning experience required
Familiarity and experience with all types of conferences, meetings, and events required
Proficiency required in Microsoft Office: Word, Excel, Outlook, and PowerPoint
Multi-tasker with ability to time manage and prioritize who is organized with attention to detail with the flexibility to change with a keen sense of urgency when needed
Ability to work independently and to collaborate with many personalities
Professional and customer-oriented with outstanding communication skills – written and verbal
Willingness to travel as needed
Preferred Qualifications, Capabilities, and Skills
Related degree in Event Management, Travel or Hospitality or equivalent experience
CMP designation preferred
Cvent experience desired
Experience in the professional services industry is a plus
