Amazon Studios is the movies and television development and production arm of Amazon. We are currently seeking an experienced visual effects production coordinator to support the visual effect department. You will be organizing and tracking each show from setup through production and wrap deliverables. This role will be both internal and external facing, as you work with stakeholders at the studio and show level. You will leverage your excellent organizational skills while handling both sensitive and confidential material for our stakeholders.


Responsibilities

Manage daily, weekly, monthly schedule for Global Head of Visual Effects
Assist in the breakdown of scripted materials to determine scope of visual effects
Assist in the preparation of bid packages for both internal and vendor input.
Assist in gathering availability information for VFX show side keys (Freelance VFX Supervisors/VFX Producers)


Prepare agendas and presentations for management meetings; coordinate meeting summaries; ensure distribution to appropriate executives; monitor and/or follow up on items
Coordinate domestic and international travel arrangements
Compile, distribute, and store production documents (e.g., contracts, call sheets, calendars, vendor lists, reports and schedules) on the studio network


Track and process approvals and production payments with BA, Legal, and Finance
Assisting in key shows by maintaining a checklist for each show to ensure major milestones are met (e.g. budget lock, budget approval, kick-off calls, deliverables, international filming activity, etc.)
Facilitate communication with the show level and studio departments (e.g. casting, business affairs, legal, finance, PR/marketing, etc.)


Coordinate kick-off calls with development for each individual project
Update and distribute studio contact lists and ensure that they are managed per studio requirements.
Maintain relationships with vendors, studio and show level counterparts
Track show wrap-out memos and storage facilities for asset transfer and disposal as needed
Assist and facilitate general requests and communication to ensure shows are following studio guidelines and procedures.


Assist and facilitate archiving of shows and asset wrap delivery for VFX shows following studio guidelines and procedures.
Assist and facilitate general requests in regard to Virtual Production and any support needed.
Tracking airtable data and creating overview reports.
Additional department level duties as they arise in support of the VFX Department overall.


BASIC QUALIFICATIONS 

3+ years of experience as a VFX production coordinator or 3+ years of experience in an production based executive/administrative assistant position.


PREFERRED QUALIFICATIONS 

4 years of experience.
Understanding the basic principles and terminology of the visual effects workflow process.
Knowledge of creative, production, post production processes and related workflows.
MS Office, Cinesync, Pix, Box.
Extremely organized and detail oriented. Perfectionist – loves and lives by process. Excellent time management skills.


Effective interpersonal skills accompanied with a high degree of sensitivity for confidentiality.
Must be excellent in both oral and written communication techniques
Must be able to gather data and return reliable, pertinent information to executive for action.
Must be multi-task oriented with an excellent sense of priority; logic and objectivity, highly organized and capable of handling a number of sensitive and important issues simultaneously.
Anticipatory Planning & Management – Acts on behalf of the Global Head of Visual Effects in areas such as follow-up, monitoring calendar for conflicts, and communicating requests for information and routing to the appropriate person.


Grace under pressure and collaborative problem-solving abilities.
Conceptual/Critical Thinking – Keeping abreast of the business matters addressed to the Global Head of Visual Effects, utilizing the appropriate resources to ensure accurate and timely information/data gathering and follow-up on all issues.


Willingness to continue learning to ensure understanding of current production process.
Know how to navigate and cross-communicate within the studio and show level.
